Four Tips on Time Management at Work

It’s no secret that we all have those days when it feels like there is just not enough hours in a day, or feeling like everything is happening all at the same time. While in some cases, this could just be a busy day, in the majority of cases, this is due to poor time management.

If you’ve seen the movie “In Time” starring Justin Timberlake, you can clearly notice the emphasis on how much they value time, and stay cautious about what they spend it on. In fact, Time is the most valuable thing we have, and it could bring you a fortune, if you spend it right.

From a Time Management perspective, spending the time right = spending the right amount of time on each respective task. Therefore to be a successful project manager, you must be able to manage your time well. Hence best project managers ensure they are productive for most of their time and avoid time-wasters at all costs. Here are some tips that can help you manage your time more efficiently.

1- Create the Plan

You may ask, What does this have to do with time management? Well, if everyone knows what they are doing and have a plan with regular milestones to focus on, you as project manager will spend a lot less time dealing with issues brought about by a lack of clarity.

2- Follow the 80/20 Rule

The 80/20 rule (The Pareto Principle) is the idea that by doing 20% of the work you can produce 80% of the benefit of doing the whole job. The value of this is that it reminds you to focus on the 20 percent of activities that matter. Those 20 percent produce 80 percent of your results. Identify and focus on those activities.

3- Cut Down Unnecessary Meetings

It’s best to maintain a distance from group meetings where you go around the room to get Status Updates. These meetings are a waste of time. Rather, invest that energy concentrating on risks, issues and opportunities. Utilize the group to conceptualize arrangements and make thoughts. On the off chance that you plan an hour for the meeting, ensure it goes on for an hour. Make sure everyone stays on topic.

4- Create a To-do List

Emailing is a modern-day problem that can distract you from doing the work you need to, or plan to. Making a daily to-do list keeps you focused on achieving your goals. Scratching tasks from the to do list is a pleasure on its own.
